Introduction
 
To better ease the visitor management of a community, i-Neighbour has included a Security Module within its system for the guards on duty. Not only will this aspect help to remove the need for any physical forms, but this module will also allow for tighter security, smoother visitor registration as well as provide accessible records for the management of the community. Although the Security Module can be accessed via Android smartphones, it is however recommended that the i-Neighbour Guardhouse Tablet Panel is acquired in order to fully utilized the Security Module of i-Neighbour.
 
Optical Character Recognition (OCR) and How to Setup Its Settings
 
The OCR is an embedded module within i-Neighbour that allows for the digitization of printed text so that the data can be electronically edited, searched, stored and displayed online. Hence, the data can easily be obtained from documents such as the visitor’s identification card, driving license or passport via the tablet camera without having to manually input the data.
 
 
That said, to setup the OCR settings in i-Neighbour, please login into the Guard Account within i-Neighbour > MORE > Settings > OCR Settings. Once in the settings, tap on the “Enable OCR settings” to proceed with the setup. Then, click on the “Settings” icon located at the top right to configure the cropping of the image size.

Step 1:Select ID Type, such as “ID”, “Driving License” and “Passport”.

 
 
Step 2:Place the ID at the tablet panel holder to capture the photo.

Step 3: Drag and drop the edges to preset the cropping area. Note that this cropped area will be displayed in the Visitor’s Detail page.

 
 
Step 4: Proceed to also preset the cropping area for the user’s image. Note that this cropped area will be displayed under the visitor’s profile photo.
 
 
Step 5: : Click “Submit” to complete the process. Then, proceed to configure another ID Type (if necessary).
 
 
Registration of Visitors
 
How to Check-In Visitors
 
Depending on the situation, there are two scenarios whereby the security guards will encounter during the Registration Process in which he/she will then have to proceed accordingly.

Scenario 1 (Pre-registered Visitor)
The visitor has already pre-registered and has been approved by the resident within the community. Therefore, the visitor should have and able to present a valid QR code upon reaching the community. In this case, the security guard on duty will have to verify the QR code by tapping on the Scan QR code function in the homepage of i-Neighbour Security Module. Next, place the QR code onto the tablet/phone camera and the system will auto-detect the visitor’s QR code. Once completed, the security guard will then be redirected to the Visitor Details page and can proceed to approve the visitor.

 
 
Scenario 2 (Walk-In Registration)
The visitor arrived at the guardhouse without any pre-registration carried out beforehand. For this case, the security guard will have to register the visitor in order to approve their entry into the community. To register the visitor, please proceed to tap on the ‘Walk-In Registration’ function in the homepage of i-Neighbour Security Module. Next, indicate whether the visitor arrived by car or by foot and place in the Car Plate No., Driving License/ID No. respectively.
 
 
After tapping on Next, a registration form will be displayed for the security guard to fill up. Note that security guards will have to obtain the relevant resident information from the visitors such as Block/Street, Unit No. and Resident Name in order to confirm the visitation. Once done, tap on Next to proceed.
 
 
The security guard will then be presented with an option to call the supposed residents regarding the visitation at hand. Note that this particular action is entirely optional and depending on the community’s policies. On the other hand, the security guard can progress to approve the visitor if everything else proceeds expectedly. At this point, please be informed that tapping on the Decline icon will just cancel the Registration Process.
 
 
Once approved, the security guard will now have to input the visitor’s Name and ID/Driver No. in order to complete the Registration Process. Tap on the Camera Icon to utilize the tablet’s OCR module to speed up the data input process. What’s more, security guards who utilize the Smart Reader on Android Smartphones can also tap on the Read ID (MyKad) function and speed up the data input as well. Lastly, tap on the Check-In Icon and a pop-up will appear to indicate that the visitor has been checked-in.
 
 
How to Check-Out / BlackList Visitors
 
Afterwards, if the visitors would like to check-out of the community, security guards should tap on the Checked-In Visitor Icon and search for the visitors who wish to leave the premise. (Note to first obtain the Visitor’s Name, ID/Driver License No. or Car Plate No. before proceeding with this step)
 
 
Next, select the visitor profile and proceed to the Visitor Details page. In it, security guards will be provided with a list of the visitor’s information as well as the option to Check-Out or Blacklist the visitor below. Tapping on the Check-Out option will prompt a pop-up to confirm the selected action. Tap on Yes to check-out the visitor.
 
 
In certain cases whereby the visitor is causing trouble for the community, security guards are also able to suggest that the visitor be blacklisted by tapping on the Blacklist option. Next, proceed to include the reason for blacklisting and select Yes. The blacklist action will then be in pending for the Admins of the community to review and confirm the blacklist.
 
 
Expected Arrival
 
On the homepage of i-Neighbour Security Module, security guards can also be informed of any pre-registered visitors that will be arriving on the current day. By tapping on the visitor profile within this function, the security guards will be provided with the upcoming visitor’s information as well as the option to Check-In or Blacklist the visitor. This function is featured to further speed up the time taken for already pre-registered visitors.
 
 
Panic Alarm Alert
 
In case of an emergency, there will be residents who will trigger the Panic Button in i-Neighbour. When this occurs, a siren sound will be triggered on the system and a Panic Alarm Alert will pop-up for the security guards to take action.
 
 
To act accordingly, please tap on the Acknowledge button to inform the affected individuals that you are informed of the following emergency. Furthermore, security guards can also proceed to the Notifications Icon under the Homepage or More > Emergency History to obtain more information regarding the security issues.
 
 
Frequently Asked Question (Additional)
1. I’ve already checked-out a visitor from the community, may I know where to access the records of all the checked-out visitors?

To access the information for all checked-out visitors, please proceed to the Checked-In Visitor Icon in the Security Module Homepage and tap on the History Icon located at the top right. You will then be provided with a list of checked-out visitors as well as the option to suggest blacklisting when you tap on the visitor’s profile.

2. While checking-in the visitors, I noticed that there is a field for Visitor Pass No., what is this field actually for?

In order to differentiate between a resident and a visitor, especially for drive in visitor who requires a parking lot; the security guards would normally give out a Visitor Pass to indicate that the visitor has been registered. Therefore in i-Neighbour, we’ve included this Visitor Pass No. field to provide the security guards with the option to input a descriptive remark or record regarding the visitors within the community.

3. Can I still check-in the visitors who are labelled as Pending for Blacklist or Rejected status?

No, visitors with Pending for Blacklist or Rejected status are not allowed to check-in to the community. Both the Admins or the unit owners will have to confirm the visitation first before any visitors will be allowed to check-in.

4.Can I choose to disable the OCR function?

Yes, you can disable it at More > Settings > OCR Settings by toggling off the option. However, we recommend that this function is fully utilized in order to provide a speedier Registration Process.

5. What will happen during check-in if I disabled the OCR function? Will the captured ID photo still be stored into the Visitor’s Details page?

If OCR function has been disabled, security guards can still proceed with capturing the visitor’s ID photo and the photo will be stored in the Visitor’s Details page. The only difference is that the system is unable to capture the details (Name and ID No.) and the visitor’s profile photo. Note that guards will then have to manually key in the visitor details.

6. After successfully blacklisting a visitor, can I undo my action and whitelist the visitor?

No, security guards can only suggest a blacklist on a visitor while ONLY the Admins can actually blacklist or whitelist the visitor.

7. I noticed that there is an Intercom function below the Homepage of the Security Module. Does this mean that I can also contact the residents even while not in the process of registering a visitor?

Yes, you can but we recommend that you contact the residents only if it is really necessary or depending on your community policies as well.
